In this lesson we will cover:
– Turning on Project Completion Status
– How Project Completion Appears
– How Project Completion is Calculated
Turning on Project Completion Status
Within Configuration > Tickets > Ticket Types you can set the project completion calculation from a single select field found in the Forms tab.

How Project Completion Appears
This will show at the bottom of the Kanban view within the Project Tasks tab.
Fig 2. Project Completion bar on Kanban View
As I have 6 project tasks in this example, after I have completed 2, the percentage completion will change.
Fig 3. Project Completion partially finished
This project completion bar can also be shown on the Gantt View of the Project.
Fig 4. Project Completion on Gantt View
For this example the "Calculate completion" was based on "the number of completed project tasks" i.e. 33.33% of the project tasks had been completed at that moment in time.
How Project Completion is Calculated
The Project Completion Status can be calculated in the following ways:
- Do not show.
- Calculate completion based on the number of completed project tasks.
- Calculate completion based on the total estimated time of completed project tasks.
- Calculate completion based on the total budgeted time of completed project tasks.
- Calculate completion based on the total hours against budgeted time of all project tasks.
The estimated time calculation will look at the amount of time allocated across all tasks via the estimated time field (This field can be set on the field list of a ticket type, and then made as a mandatory field).
Fig 5. Estimated Time field on a ticket type
The budgets field can also be added/configured at ticket type level, this is how you can budget for time on projects and also set a specific hourly rate against budgets. The Budget types can be added from within Configuration > Project Management > Budgets.
Fig 6. Budget Types list
When creating/ editing a project task, you will be able to select a Budget type for the task and additionally a Time Budget (The amount of time allocated from the Projects Budget).
The calculate completion percentage based on the total budgeted time of completed project tasks will look at the amount of time against tasks in the time budget field and then get the time allocated to tasks via the "Time Budget" field that have been completed. For example if there was 2 tasks and task 1 had 4 hours against and was a completed task, of there was another task that had 6 hours on the time budget, the total time on budgets against tasks would be 10 hours, therefore 40% of the project would be completed.
Fig 7. Project Completion based on budgeted time
Finally the option for calculate completion percentage based on the total hours against budgeted time of all project tasks. This option will look at all time taken on project tasks, and then work out the percentage based on the amount of time done on tasks (Not to be mistake with the time budget field, instead this looks at the actual time taken across tasks) divided by the time budget set against tasks.
Fig 8. Project Completion based on Project Task budgeted time
If for example, I had logged 4 hours against a task, and all my tasks equated to a time budget of 10 hours (4 hours on this task and 6 on the other), then the project completion would be 40%.
